A crucial role to ensure personal support in the smooth running of the Pearlfisher London business and secondarily connectivity with our other studios at an Executive level.
We need you to:
Become the personal representative of our Founding Partner & CEO in London and ensure his connectivity with the two other Partners (the Executives) in New York and London while helping to support, represent and build their personal profiles to positively impact business performance.
You will be providing high-quality assistance to the CEO, proactively identifying and addressing priority tasks and needs for both him and the senior Leadership team to ensure the company runs at peak performance.

Some experience at EA level, preferably with Marketing/Comms experience, or within a creative agency or challenger brand environment with an international dimension.

The role in detail
Connectivity between Partners/studios
Proactively and intuitively connecting all four studios by being business-aware and understanding the unique personalities of all three Partners, and how they complement each other’s working style, to drive best working and communication practices between them.
Drawing on either your own Marketing/Comms background, or working with our internal Marketing & Communications team, to identify and implement ways to actively promote all three Partners through social and business media.
General support to the CEO
Over time, becoming the CEO’s personal representative internally; for example, chairing internal meetings on his behalf and managing his social media presence.
Email and diary management, including composing and sending of emails on CEO’s behalf.
Fielding/directing calls and emails, advising CEO of urgent requests, proactively prioritising his workload.
Organising effective quarterly international Executive business performance meetings.
Organising meetings, writing agendas, taking and circulating meeting minutes as requested.
Making travel arrangements and ensuring CEO has everything required for each trip.
Managing expenses for CEO and other Leadership as requested.
General administrative and clerical duties; proactively, intuitively and under direction.
Identifying and implementing strategic policies and procedures to streamline working practices.
Ensuring that all actions are followed up and completed by other team members within agreed timeframes.
Managing and supporting the Concierge; taking responsibility for development and performance management.
Ensuring Right to Work checks are carried out for all new employees (eg scanning of visas and passports).
Organising inductions for all new employees.
Liaising with Head of Talent and Creative Resources Manager to ensure all details are stored correctly on Bamboo HR.
Organising birthday cards for all employees.
Event & meeting management
Organising or helping to support Executive team, Leadership and company meetings and events such as speaking and communications platforms, Christmas party, anniversary celebrations.
Arranging and project-managing CEO/Leadership client entertainment within a set budget.
Keeping abreast of new venues, restaurants etc for client entertainment.
Alongside Concierge, managing company car and building maintenance.
